An international business and management team is looking for Group Executive Assistant who will be assigned to assist high-level managers as well as other professionals of the team with administrative tasks, correspondences, office management duties, clerical support as well as tackling tasks and preparing administrative reports which could have a dramatic effect on the success of a company.
Main responsibilities:
· Manage and provide a proactive high level confidential secretarial service to CEO, Executive Team and Board of Directors and, ensuring additional administrative support is provided to other team members across the group when necessary, (e.g. greet visitors, composing letters, drafting documents and carry out typing, minute taking, phoning and respond to inquiries and communications, arrange travels, meetings, filing and archiving, writing emails, memos and letters, etc).
· Act as the Office Manager, when needed, for future local offices ensuring that a professional, clean and tidy working environment is maintained at all times.
· Ensure that full administrative duties are provided for the Executive Team as required including; follow up on tasks, producing agendas, taking and transcribing confidential minutes of meetings, circulating appropriate papers and logging /updating action points accordingly.
· Manage incoming email, post, expenses, purchase orders and telephone calls as required.
· Act as the point of contact for various bodies who work in liaison with the Executive Team as well as members of the Board of Directors, Members of Board of Advisors, whilst observing appropriate internal protocol.
· Carry out any other general administration and assistant duties as required as ordered by CEO.
