شرح موقعیت شغلی

We are currently seeking a highly organized and proactive individual to join our team in the role of Executive Assistant and Office Manager. As an Executive Assistant and Office Manager, you will play a critical role in supporting our executive team and ensuring the smooth operation of our office. The ideal candidate should have excellent communication skills, strong organizational abilities, and a high level of professionalism. This is an on-site position, and the candidate must be willing to work in our office located in Tehran - Pounak.


Responsibilities:

Executive Assistance:

  • Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and expense management
  • Prepare and edit correspondence, presentations, and reports
  • Act as a point of contact and maintain effective communication channels with internal and external stakeholders
  • Assist in preparing meeting agendas, attending meetings, and recording minutes
  • Conduct research and compile information for various projects and initiatives
  • Handle sensitive and confidential information with utmost discretion
  • Assist in the coordination and execution of special projects and events

Office Management:

  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and professional working environment
  • Manage office supplies and inventory, and coordinate with vendors and service providers
  • Implement and maintain office policies and procedures to optimize efficiency and productivity
  • Serve as the primary point of contact for facilities and maintenance issues
  • Coordinate office equipment and technology needs, including troubleshooting and liaising with IT support as necessary
  • Assist in onboarding new employees, including setting up workstations and coordinating orientation
  • Plan and coordinate team building activities and employee engagement initiatives
  • Support HR functions, such as maintaining employee records and assisting with employee-related tasks
  • Collaborate with cross-functional teams to foster a positive and inclusive office culture

Requirements:

  • Fluent in English with excellent verbal and written communication skills
  • Proven experience as an executive assistant or office manager
  • Strong organizational skills with meticulous attention to detail
  • Proficient in Microsoft Office Suite and other relevant software
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment
  • High level of professionalism and ability to maintain confidentiality
  • Excellent interpersonal skills and ability to work effectively with diverse individuals and teams
  • Strong problem-solving and decision-making abilities
  • Knowledge of office management best practices and procedures
  • Flexibility and adaptability to changing priorities and tasks
