We are currently seeking a highly organized and proactive individual to join our team in the role of Executive Assistant and Office Manager. As an Executive Assistant and Office Manager, you will play a critical role in supporting our executive team and ensuring the smooth operation of our office. The ideal candidate should have excellent communication skills, strong organizational abilities, and a high level of professionalism. This is an on-site position, and the candidate must be willing to work in our office located in Tehran - Pounak.
Responsibilities:
Executive Assistance:
Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and expense management
Prepare and edit correspondence, presentations, and reports
Act as a point of contact and maintain effective communication channels with internal and external stakeholders
Assist in preparing meeting agendas, attending meetings, and recording minutes
Conduct research and compile information for various projects and initiatives
Handle sensitive and confidential information with utmost discretion
Assist in the coordination and execution of special projects and events
Office Management:
Oversee the day-to-day operations of the office, ensuring a clean, organized, and professional working environment
Manage office supplies and inventory, and coordinate with vendors and service providers
Implement and maintain office policies and procedures to optimize efficiency and productivity
Serve as the primary point of contact for facilities and maintenance issues
Coordinate office equipment and technology needs, including troubleshooting and liaising with IT support as necessary
Assist in onboarding new employees, including setting up workstations and coordinating orientation
Plan and coordinate team building activities and employee engagement initiatives
Support HR functions, such as maintaining employee records and assisting with employee-related tasks
Collaborate with cross-functional teams to foster a positive and inclusive office culture
Requirements:
Fluent in English with excellent verbal and written communication skills
Proven experience as an executive assistant or office manager
Strong organizational skills with meticulous attention to detail
Proficient in Microsoft Office Suite and other relevant software
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment
High level of professionalism and ability to maintain confidentiality
Excellent interpersonal skills and ability to work effectively with diverse individuals and teams
Strong problem-solving and decision-making abilities
Knowledge of office management best practices and procedures
Flexibility and adaptability to changing priorities and tasks
