شرح موقعیت شغلی

Job Overview:


Office admin is. responsible for all administration issues such as documenting letters ,… . responsible to help HR manager for internal management issues of office and company's apartments.


Daily Responsibilities:


1. Responsible for handling all income and outcome calls 


-Connect calls to the relevant units


-Taking  necessary messages and convincing  to related contacts correctly and on time 


-Placing calls  (Managing Director, Sales Manager, Broadcast Manager, Marketing Manager, Financial Manager and HR Manager as and when required)


2. Preparing and archiving income/outcome written communicate like letters and mails. 


3. Receive and archive official emails and respond to emails that need to be answered.


4. Manage Office Cleaning with Service Officer (maintain kitchen cleaning and other office parts)


5. Arranging convenience for arrivals and departure for personnel, guests and managers


6. Note the birth date of all personnel and send a greetings message to the company groups and birthday party arrangements for Office staff (buying cakes and coordinating with the managers).


7. Arranging Food and beverage for senior managers, guests and meetings


8. Managing Petty Cash for company's day to day expenses.


9. Send faxes and receive faxes and transfer them to the relevant units


10. Managing courier duties to send dispatches and request a taxi or a snap for managers


11. Taking necessary signatures from the management (Sales Director General, Regional Sales Manager, Managing Director, Chairman of the Board as and when required)


12. Responsible for a visa Appling for head office visitors. coordinate airport pick-up ,CIP and acomodation as needed.


Over All Responsibilities:


1. Updating the employee profile file


2. Perform the necessary coordination in the groups of companies either by e-mail or by telephone on request of managers


3. Update file phone maintenance of personnel contacts, including old and new personnel of the company and contacts of the company


4. Manage Office Purchases for:


-kitchen


-Stationery


-Electronic 


-Charging cartridges


5. Manage referrals for interviews and archives required in this case.


Income Package:


-Monthly salary

Qualifications:


- Education: At least Bachelor degree 


- Preferably 2 years or more experience in relevant field specially in administrative


-Advanced knowledge of ICDL 


-Upper intermediate knowledge of English 


-Advanced knowledge of administration process


-Advanced knowledge of outlook 


-Hard worker 


-Excellent communication skills 


-Ability of working under pressure 


-Multi task working ability 


-Ability of meeting deadlines in force situations
