Responsibilities:
- Provide direct support to the C LEVEL of SnappFood and manage the C LEVEL calendar, including time, tasks and scheduling all appointments and meetings.
- To organize and maintain diaries on a daily basis, make appointments, meet and greet visitors at all levels of seniority, screen phone calls, respond to enquiries and requests, and escalating them when appropriate.
- To deal with incoming emails, faxes and post, typewriter letters and may correspond on behalf of the C LEVEL.
- To organize and attend required meetings and ensure required presentations and narrative documentation are well prepared for meetings.
- To prepare minutes of meetings and produce memos of such for review.
- Follow through with allocated tasks and ensure appropriate and timely action on deliverable.
- Interact with SnappFood Stakeholders and counterparts to arrange meetings and conference calls, with key operations colleagues, and internal managers.
- To arrange travel plan and itinerary, schedule and meetings seamlessly.
- Prepare and provide weekly, monthly and ad-hoc reporting on different activities.
- Maintain confidentiality of highly sensitive information.
- Manage complex office administrative work requiring the use of independent judgment and initiative.
- Maintain an effective computer based filing system and manual filing system (where appropriate).
- Be responsible for the overall direction and coordination of administration.
- Strong attention to detail and ability to establish/follow routine processes and procedures.
- Perform other related duties, as assigned by the C LEVEL.
Requirements:
- At least Bachelor's degree in Business Administration or any other related field.
- A minimum of 4+ years as an Executive Assistant, Personal Assistant or Secretarial experience at C Level, Director and/or senior leadership level or previous coordination experience.
- Strong computer skills and Proficient in MS Office.
- Excellent Communication Skills (verbal-written).
- Ability to learn organizational structure and the objectives of the company.
- Ability to balancing competing priorities.
- Ability to documentation and filing system (manual and digital).
- Ability to read, write and communicate well in English language.
- High level of loyalty and Integrity in handling confidential information.
