Responsibilities:
- Provide direct support to the CEO of SnappFood and manage the CEO calendar, including time, tasks and scheduling all appointments and meetings
- To organize and maintain diaries on a daily basis, make appointments, meet and greet visitors at all levels of seniority, screen phone calls, respond to enquiries and requests, and escalating them when appropriate
- To deal with incoming emails, faxes and post, typewriter letters and may correspond on behalf of the CEO
- To organize and attend required meetings and ensure required presentations and narrative documentation are well prepared for meetings
- To prepare minutes of meetings and produce memos of such for review
- Follow through with allocated tasks and ensure appropriate and timely action on deliverable
- Interact with SnappFood Stakeholders and counterparts to arrange meetings and conference calls, with key operations colleagues, and internal managers.
- To arrange travel plan and itinerary, schedule and meetings seamlessly
- Prepare and provide weekly, monthly and ad-hoc reporting on different activities.
- Maintain confidentiality of highly sensitive information.
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Maintain an effective computer-based filing system and manual filing system (where appropriate)
- Be responsible for the overall direction and coordination of administration
- Strong attention to detail and ability to establish/follow routine processes and procedures
Requirements:
- At least Bachelor's degree in Business Administration or any other related field.
- A minimum of 4+ years as an Executive Assistant, Personal Assistant or Secretarial experience at CEO, Director and/or senior leadership level or previous coordination experience
- Strong computer skills and Proficient in MS Office
- Excellent Communication Skills (verbal-written)
- Ability to documentation and filing system (manual and digital)
